1. The Contract

Rockford Farm is a trading name of Chatley Investments Ltd known as the agent and Owner. The Contract is between the Owner and the Client. The contract becomes effective once the required monies, signed booking form or email agreement to our terms and conditions, have been received from the Client.

2. Authority to Sign

The Client must be over 18 years old and is confirming that he/she has authority to make the booking on behalf of the party by signing the booking form. The Client acknowledges that the choice of the property is ultimately his/her responsibility.

3. Hirers Further Obligations

a) Not to part with possession of the property, or to share it, except with the members of the party it is booked for.

b) Not to sell or transfer the booking to another party without the prior consent of the Owner.

c) To leave the holiday accommodation in good order and repair and in the same condition in which it was found at the start of the holiday.

d) To be responsible for ensuring that he/she and the party behave in a reasonable manner during the holiday both with regard to the property itself and its surroundings.

e) To permit the Owner reasonable access for the purposes of inspection or repair.

f) To comply with the security and safety precautions, rubbish disposal instructions and any other reasonable regulations imposed for the good management of the property. If these are not followed and any expense is incurred e.g. return of personal items left in the property, Rockford Farm will deduct this cost from the cautionary deposit.

g) Not to smoke either inside or within close proximity to the holiday property.

h) To follow the property instructions as provided in the Welcome Pack.

4. Arrivals/Departures

Arrival time is after 4.00pm to allow for proper preparation of your accommodation in-between lets. Please vacate your accommodation before 10.00am on the day of departure. If departure is later than the agreed time and the housekeeping staff cannot get into the property to clean then a charge will be applied and deducted from the cautionary deposit to cover this.

5. Payment

For reservations made more than 60 days before the holiday start date, 50% of the holiday cost is required, with the balance being due 60 days before the arrival date.

In the case of bookings made less than 60 days before arrival full payment is due on booking. This will be made up of the rental tariff and refundable cautionary deposit of £500.00. All online bookings are provisional until confirmed by Rockford Farm.

6. Balance of Payment

The full balance of the total holiday cost is payable to the agency no more than 2 months before the arrival date. Non payment will result in cancellation of the booking.

7. Short Breaks

Short breaks are accepted at our discretion. These breaks are charged at a percentage of the weekly tariff.

8. Cancellation/refund policy

Any cancellation made by the Client for whatever reason shall be in writing or e-mail and addressed to Rockford Farm at the address on the Booking Form. Rockford Farm will accept notice of cancellation on behalf of the Owner.

Our cancellation policy is as follows:

• If cancellation is made 60+ days before the holiday arrival date, then a full refund will be given

• If a cancellation is made 30 – 59 days before holiday arrival date, a 50% refund of holiday price will be given.

• If cancellation is made 30 days or less before the holiday arrival date, then no refund will be given. Except for the security deposit.

Rockford Farm strongly recommends clients take out Cancellation Insurance. Should a cancellation be made which does not qualify under the terms of the Cancellation Insurance the Client remains liable for payment in full for any monies paid in accordance with the Booking conditions.

9. Pets

Pets are welcome at Rockford Farm with conditions. Please inform us while booking so we can let you know the correct procedures.

Pets are not permitted upstairs in bedrooms or on any furniture. Pets should not be left at the property unattended. The owners require any mess to be cleared up at the end of your stay and disposed of appropriately, whether inside or outside of the property. Should any mess be left at the property, then Rockford Farm will contract to have this removed and the cost will be deducted from the cautionary deposit.

10. Cautionary Deposit

We take a £500.00 cautionary deposit on all holiday lets, this is for any mishap that may occur during your stay, and we would deduct any costs from the cautionary deposit in the unlikely event of any damages, large breakages, mishaps occurring, or charge for extra cleaning. The cautionary deposit will be returned within 7 working days after departure date upon receipt of a satisfactory housekeeping report.

11. Liabilities

Chatley Investments Ltd shall not be liable to the Client or third parties for any accident, damage, loss, injury expense or inconvenience, which may be suffered, incurred, arise out of or in any way connected with the rental. No term of the Contract is enforceable under the Contracts (Rights of The Third Parties) Act 1999 by a person who is not a party to the Contract. If the property which the Client has booked becomes unavailable or unusable for some reason beyond the owners or Rockford Farm’s control, prior to the date of a booking, then Rockford Farm’s obligation will be to (1) use their best endeavour to find a suitable alternative property, or failing which (2) to reimburse the Client for any monies paid. Rockford Farm cannot be held responsible for matters beyond its control such (but not limited to) noise, nuisance or disturbance resulting from building works, noisy neighbours or local events etc., disruption of services from utility suppliers or closure of shops or amenities described on the property details etc.
